Weather & Cancellation Policy

☁️ What Happens If It Rains For My All-Inclusive Picnic (Full Service)?

We know Charlotte weather can be unpredictable. If severe or unsafe weather is expected, The Spread reserves the right to reschedule your picnic at our sole discretion. We will notify you via text or email as soon as possible.

Clients may also choose to move their picnic indoors or reschedule due to weather. Weather-related reschedules must take place within 2 months of the original event date. If the picnic is not rescheduled and completed within that timeframe, all payments made will be forfeited.

Weather-related reschedules are limited to one reschedule per booking.

Non-Weather Related Cancelations For All-Inclusive Picnics (Full Service)

Cancellations made 15 or more days before the scheduled picnic date are eligible for a full refund (excluding any charcuterie or custom food items already ordered).

Within 14 days of the scheduled picnic date:

  • no refunds will be issued,

  • Clients may reschedule their picnic one time only if the reschedule is made 10 days or more in advance from their scheduled picnic.

The rescheduled picnic must occur within 2 months of the original reservation date.

Once a picnic has been rescheduled, the booking becomes fully non-refundable and non-transferable even if bad weather arises, or your unable to make the new scheduled picnic.

☁️ What Is The Self-Service Picnic Weather Policy?

In the event of rain on the original reservation date, The Spread allows a one-time reschedule for self-service rentals. Any rescheduled rental must take place within 72 hours of the original reservation date and is subject to availability. No refunds will be issued due to weather.

Cancellation Policy for Self-Service Picnics

Cancellations made 15 or more days before the scheduled self-service picnic date are eligible for a full refund (excluding custom food or decor items already ordered).

Within 14 days of the scheduled picnic date:

  • no refunds will be issued

⏰ Rental Window For Self-Service

• Rentals must be returned within the agreed window.

• When pickup is scheduled, a return time will also be scheduled.

• Late returns are charged by the hour ($25 per hour).

Damage & Loss Responsibility

We do not require a damage deposit upfront. However, by booking with us, you agree to take full financial responsibility for any loss, theft, or damage to our property during your event. This includes, but is not limited to:

  • Tableware and glassware

  • Décor and floral arrangements

  • Tables

  • Pillows & Blankets

  • Games and furnishings

  • Excessive cleaning required beyond normal use

If any item needs repair or replacement, an invoice will be issued after the event. The Spread reserves the right to assess and report damage discovered during the cleaning, inventory, and inspection process for up to 7 days following the return of rental items.

Each self-service picnic rental includes a curated setup styled to match your selected theme, featuring:

• Low picnic tables

• Rugs

• Floor cushions & pillows

• Dishware & glassware

• Curated decorative accents (depending on theme chosen)

• 2 collapsible wagons for easy transport

• Optional Umbrella, umbrella stand, and sandbags

Food and beverages are not included — BYO food & drinks.

Where Do You Host Picnics?

We host picnics at local parks, beaches, private residences, and even backyards. Not sure where to go? We're happy to help you choose the perfect location.

Arrival Policy

We’re committed to making your experience smooth and enjoyable. To help us stay on schedule for all our clients, we kindly ask that you arrive on time.

  • A 30-minute grace period is allowed after your scheduled start time.

  • If you arrive more than 30 minutes late, your picnic may be considered a no-show, and we reserve the right to begin teardown or prepare for the next setup.

  • Please note: your reservation begins at the scheduled time, not your arrival time. We’ll always be ready on time—and we kindly ask the same of you so you can enjoy every minute of your experience.

Equipment Policy

All picnic items provided by The Spread—including décor, tableware, furniture, and games—are the property of our company and are for temporary use during your event. Please treat all items with care and return them in the condition they were received.

If something is damaged, broken, or missing, plase notify us by text as soon as possible so we can handle it quickly and respectfully.

Damage & Spills Policy

We pride ourselves on delivering stylish, clean items for your enjoyment. If any tears, spills, or stains occur, please let us know.

  • Small spills with clear or non-staining liquids may not be charged at full replacement value but could result in a dry cleaning fee, if necessary.

  • If an item breaks or is damaged and is a set, the whole set will need to be replaced.

Cleaning & Sanitation Policy

At The Spread, your health and safety are just as important to us as the aesthetic. After every picnic, all equipment—including tableware, linens, décor, and seating—is thoroughly cleaned, sanitized, and inspected to ensure it’s fresh and ready for the next guest.

We take great care in maintaining our items so you can relax and enjoy your time with confidence.
